Prepare a screen before sharing it

Prepare the screen for the audience before starting a share.

Prepare the screen for the audience before starting a share. The useful question is what they need to see, together with what could appear unexpectedly.

Close unrelated documents and check for personal information in titles, tabs and desktop previews. Use the meeting tool's window-sharing option when that fits the task, and verify its current behaviour through the official controls. Sharing one window can still expose information inside that window when you switch documents.

Rehearse one movement

Open the page or file you will show, make the text readable and try the navigation once. Check whether a login prompt, download folder or recent-file list appears along the way. Pause unnecessary notifications using suitable system controls, while preserving any alerts your work requires.

If possible, use the meeting preview or a second participant's confirmation to check what is visible. Describe the document and the action you are taking so the audience can follow without relying on a moving pointer alone.

Stop sharing before returning to private work. Confirm the share indicator has ended rather than assuming that minimising the meeting closes it. A short preparation protects both privacy and clarity. It also reduces the awkward pause in which an audience waits while you search through a personal workspace for the correct file.
